1. Describe the software and versions, tools, and equipment used in the office.
The software "Time Matters" is used in my office for managing the clients who want to immigrate. It provides Calendar, Tickler, Contact, Matter, Document, and Messaging Management.
The equipments used in my office are scanner, photocopier, fax, telephone, staple, clips, rubber band, and so on.
2. Are you using/will you use any of the legal software learned in your programme? Explain. If you are using new software, was it easy/difficult to adapt to. Why?
I mainly use the "Time Matters". This software is new for me but easy to learn. One of the my tasks is to check that there is scanned applications in the clients' folder of this software. I am studying the required immigration documents through the closed clients' documents and correspondences between the law office and Immigration, Refugees and Citizenship Canada saved in this software. The correspondences to register the immigration applications are very long involving the much information.
3. Describe some of the documents you have been preparing. Do not use client names.
I prepare the "Closing File Checklist". This document informs me of what process is required to obtain the Permanent Residence.
4. Do you have any accounting responsibilities? Explain what they are.
In preparing the "Closing File Checklist", there is the section to confirm the PC Law ledger so as to make sure that all bills are paid.
5. Have you been assigned a specific project? Explain your role.
When I prepare the "Closing File Checklist", if the applications are not scanned, I have to scan and save them in the Time Matters. Because I need to learn more the immigration documentary, I cannot take part in a specific project for the active files. I am just allowed to handle the inactive files.
6. Are you feeling more comfortable? Why or why not?
Every staff members are kind and they always say thank you to me, so I am feeling more comfortable.
7. Is there any subject matter you wish we had covered in class? Explain. How are you managing to become more knowledgeable about this subject?
I am concentrating on obtaining the new knowledge for the immigration law.
8. Are you drawing on skills learned in interpersonal communications, office procedures, math, bookkeeping or legal classes?
In my opinion, all of them learned in my program helps me to increase my abilities in terms of adapting to the Canadian law office.
9. Have you had an opportunity to interact with clients? How? Was this easy or difficult? Explain.
I don't have had an opportunity to interact with clients.
Hey Claire! It seems like you're only been delegated the task of Closing Client Checklist; is it because the information is super confidential or is it because anything else would be too confusing/heavy to learn within the three week placement? Hope you're enjoying the last week of placement!
